Outlook Tip Drag and Drop Scheduling (Video)

This video demonstrates drag and drop scheduling in Outlook 2010. I’ve been using the Outlook Calendar feature and stopped using tasks all together for the most part. If you’re looking to improve your scheduling efficiency check out this video.

Powerpoint Tip Slideshow in a Window (Video)

Ever try to record a screencast of a Powerpoint presentation? If you have you may have noticed like I did that you cannot easily run the presentation slideshow within a window small enough for a practical screencast. After doing some research I discovered that there are some not so well documented features for Powerpoint 2007/2010 that will allow you to run your presentation in a window. This would be particularly useful if you were doing some kind of mashup.

Using the proper Importance Flag with Email

I received an Email Friday from a friend, I receive a lot of Email so sometimes I don’t get a chance to review non critical business Email until I have some free time. This morning while responding from the message I realized that part of the message involved a timely issue for Friday evening. The title did not indicate it and the message was flagged normally. This incident was a reminder to me of the usefulness and etiquette of the Importance options with Email correspondence. Here is my interpretation of the three options:

Low Importance

I recommend using this flag when sending Emails to people who you know to be very busy that are not time critical. Chances are busy people will respond promptly to all most messages anyway but it is a nice way to say “Hey I know your time is valuable, there is no rush here.”

Not Flagged or Normal Importance

Most Email fits in this category, most people don’t flag messages at all or use the subject line of the Email to indicate the nature of the message.

High Importance

This option is sometimes over utilized, I’ve seen some Email users that seem to flag a large percentage of their messages as high importance. This is acceptable if it is factual. I recommend using this option for messages where the response required is timely or the information will be considered urgent by the recipient. In conjunction with some carefully crafted subjects you can provide a range of urgency to the recipient.

Speakeasy Business Voice Enchancements

Managed Solutions is a Speakeasy VOIP Certified partner, and we provide these services to many of our customers. Speakeasy notified us today of some significant improvements going into effect in May.

We are pleased to announce starting May 5th customers will have the ability to make the following changes to their Business Voice account:

o Edit a user’s

- Phone number
- Extension
- Directory name
- User name

o Reset

- User’s voice mail pass code
- User’s voice web portal password
- Administrator’s voice web portal password

o Swap phones between users

Customers can manage their account by going to MySpeakeasy, logging in, and clicking on the Manage Your Voice Services link.  If a customer forgets their password, they should click “Forgot Password” under the Login button and follow the prompts.

Why you should not bypass Java and other Updates

A very common complaint by end users involves “automatic updates” and some people go to great lengths to avoid them. We published this quick tip about when and how to run them to minimize the impact. There are several programs that you should think twice before bypassing or ignoring the update:

  • Windows Critical Updates
  • Adobe Acrobat
  • Flash Viewer
  • Oracle/Sun Java

The last item on this list is the primary purpose for this post, check out this bulletin from March 2009 related to Oracle Java. There were a total of 27 new security fixes:

Due to the threat posed by a successful attack, Oracle strongly recommends that customers apply CPU fixes as soon as possible. This Critical Patch Update contains 27 new security fixes across all products.”

So please, when you get the notices for these updates – run them. Another great way to avoid many of these problems is to operate your computer with an account that has lower permissions. We will write a follow up describing how to do that and why.

Saving 80% on Wages and Payroll Taxes for New Hires

At this website you can learn more, find new qualified employees, find jobs or provide a source to pre-screen job candidates. They also have a number of related job seeker events and employer information sessions where you can learn more about the program.

The screening process is crucial; employers are not allowed to ask the questions that would indicate eligibility. This is where local resources play a vital role in taking advantage of this program. Here in the Tri-Valley we are very fortunate to have a great resource to help us take advantage of this program. I want to thank Toby Brink at the Tri Valley Business Council for taking the time to explain this program to me. I am looking forward to attending one of the future information sessions and will plan to share more information as it becomes available.

Solving the problem with large attachments (Video) Drop.io

Windows 7 is Ready for Business

It has been a long time since we’ve recommended an initial release of a Microsoft Operating system for business use but we’ve reached that plateau again with Windows 7. We are encouraging our clients to implement Windows 7 when replacing existing systems. There are of course always exceptions to this recommendation, the most important being resource intensive older software applications such as design and cad software. They need to be evaluated for compatibility prior to making the shift. Your basic business machine will happily function with 7, and worse case you can offer reliable compatibility through the Windows XP Compatibility Mode.

If you are considering upgrading existing machines to Windows 7 or purchasing a new computer with Windows 7 installed feel free to contact us for an honest, experienced opinion on what you might want to consider in the process. You don’t have to be a customer or become one, but we’re pretty confident that once you get to know us you will want to be one.

Quick Tip Email Sorting

Use the “from” and “subject” fields to sort Emails while you are cleaning up your inbox. You should find it easier to get through your back log of messages by addressing issues with certain individual(s)… or certain subjects all at once. Quite often the most recent Email of a certain subject contains all the prior information and the older ones can be deleted.
